Job Title:                          (RMISC) Administrator

Reporting to:                   Team Leader

Location:                          Rugby, Warwickshire

Salary:                              £20,000 – £22,000

The Person and the role

The RMISC Administrator role is to provide high level support to the work undertaken by RMISC (Retail Motor Industry Standards and Certification Limited).

The role will be full administrative support to various audit and quality projects; the coordination and administration of agreed audits in line with company policy. To provide full secretariat duties to the Apprentice Trailblazer Governance Group; circulating agendas

This role handles sensitive data and the ability to work confidentially and professional at all times is required.    Flexibility The role will also support the wider IGA (Independent Garage Association) Member services team within RMI (Retail Motor Industry)

The role also involves answering and directing incoming calls, data entry and input on to a management system, the core duties of this role are very varied and would suit an enthusiastic and logical person with a thorough approach to work and ability to prioritise workload, alongside these core requirements, a mature professional approach to work and the ability to work within a close team is essential.

Accountabilities and Main responsibilities of the role

  • Organisation of Governance Committee meetings and all documentation, including liaison with all board members and external stakeholders to ensure attendance and minute taking at the events
  • Coordinating reports for circulation to Governance Group
  • Ensuring accuracy and compliance in the completion of relevant databases
  • Act as main point of contact between RMISC and Governance Group
  • Working to tight timescales
  • Ensuring all documentation is completing correctly in accordance with procedure
  • Liaise in a professional manner with external and internal customers using the most appropriate medium e.g. telephone, email, letter.
  • Build and maintain effective relationships with all customers.
  • Follow protocols and guidelines to ensure client service standards are met in accordance with Service Level Agreements and client Key Performance Indicators
  • Adhere to quality standards
  • Ensure effective use of internal technology
  • Achieve defined output targets (where applicable)

Essential

  • Educated to GCSE level (minimum 5 to include English & Maths), literate and articulate
  • Ability to communicate and work closely at a high level with a wide variety of audiences
  • Great planning and organisation skills
  • Numerate with a good attention to detail
  • Self-starter with strong ability to execute assigned tasks
  • Organise and maintain files and records and retrieve information as and when required
  • Oversee accuracy of paper data and check accuracy of data provided
  • Excellent IT skills including Word, Excel, PowerPoint, email and internet use
  • Proven ability to work on own initiative
  • Excellent attention to detail
  • Manage and prioritise workflow
  • Operate within own area of accountability, escalating issues and seeking guidance when required
  • Commit to own personal development
  • 100%-time keeping

Desirable

  • Previous secretarial/PA experience at board/committee level
  • Minute taking experience
  • An understanding of quality processes
  • NVQ of similar level of academic achievement specific to administrative duties
  • Ability to analyse information and provide conclusion
  • Hold a full UK driving licence

Role Information

  • £20,000 – £22,000
  • Permanent full-time role
  • 5 hours per week, Monday to Friday (9am – 5pm)
  • 25 days’ holiday plus bank holidays
